The present study aimed to examine the process of digitizing files at Manaus Previdência, with the aim of understanding the practices adopted for the transition from physical to digital collections, and evaluating the efficiency, security and compliance of document management in the public sector. This is exploratory research, we use a methodology that integrates a bibliographical bias for the theoretical foundation and field research to expose the practice of digitalization at Manaus Previdência. The descriptive study focuses on the operationalization of the digitalization process within the institution. To collect primary data, we applied questionnaires to the manager of the Manaus Previdência Archive sector and conducted an analysis of internal documents that inform the digitization procedures. The results of the digitalization process at Manaus Previdência stand out as a milestone in the optimization of public management. Digitalization has accelerated internal procedures, reduced the time it takes to grant benefits and improved the efficiency and quality of services offered to citizens. Digital document management is rigorous and effective, supported by SIGED and systems such as Alfresco, which guarantee secure access and efficient organization of the digital collection. Documents go through a careful selection and preparation process, followed by high-quality scanning and meticulous indexing, ensuring integrity, rapid retrieval and long-term preservation of data. Therefore, it is concluded that digitalization is vital for continuous evolution and excellence in public service.
