Resumo:
Introduction: In response to contemporary transformations, organizations began to look for management tools that provide a process-based management format, aiming at creating structures that unify the internal processes of the organizations' sectors. With the absence of standardization of document flows in the procedures between departments and administrative sectors, there is a need to implement tools that help the management of process flows, such as Business Process Management (BPM). Research Problem: The problem of this research is the lack of information on the use of modeling and process automation platforms to reduce the information bureaucracy of institutions through the standardization of document and information flows of current files and protocol practices. Objective: Thus, this research aims to establish dialogues between BPM and the current archives, to understand how this methodology could add to the document production phase, and analyze the Business Process Management System (BPMS) tools by comparing process flows, Bizagi Modeler, and Maestro BPM, to suggest how these tools can help in the context of protocol activities. Justification of research: In this context, applying the BPM methodology in document activities in phase can enable the control and optimization of flows through process modeling in administrative environments, providing a better performance of activities. Methodological procedures: This is exploratory qualitative research, carried out from a bibliographic survey of BPM and archive themes in the knowledge bases: Google Scholar, BRAPCI, and SciELO. Results: As a result of this research, it was possible to analyze that the Bizagi Modeler was the closest to the proposed representation of process indicators, meeting all the pre-established criteria. As well as identifying the main related concepts between the themes of BPM and the current archive, highlighting nine similarities that can help in archival practices. Conclusion: The choice of tools should be based on the needs of each organization, assessing whether their features can be adapted to the institution's goals. In the comparative analysis of the Bizagi Modeler and Maestro BPM software, the Bizagi Modeler tool had greater adherence to the criteria proposed in the evaluation, indicating that its functions can adapt to a current file context and protocol.
